Grade and quantity are only the start. Settle access, transfer limits, sampling, paperwork and the safety plan before the supplier arrives.
Send a request the supplier can act on
State vessel name and IMO number where applicable, berth or anchorage, ETA, requested delivery window, product grade and specification, sulphur requirement, quantity and tolerance. Include the receiving tank plan, manifold side and height, connections, maximum pressure or transfer rate, and required documentation.

Confirm the delivery method and access
Verify the assigned berth, supplier, truck or shore connection, hose reach, road access, timing restrictions and whether any simultaneous operation is permitted. Agree the persons in charge, communications and emergency-stop signal before transfer.
Confirm which side will sample, seal and retain the representative sample, and what happens if appearance, documentation or quantity differs from the order. The chief engineer should have authority to pause the job before the first tank is opened.
Control the transfer and paperwork
Use the yacht’s SMS and supplier checklist. Check scuppers, containment, fire equipment, spill readiness, tank capacity and valve line-up, and stop immediately if conditions depart from the agreed plan.
Where MARPOL Annex VI applies, ensure the bunker delivery note and representative sample are handled under the vessel’s requirements. Confirm certificates, seals and the sampling method before delivery rather than resolving them after transfer.
